Every article explains what a feature does, when to use it and how to proceed step by step.
- Create an organization The organization is the profile with which you publish events, manage the team and collect money. - Change your organization's settings Name, description, public nickname, social link and image are updated from the Organizer Settings page. Required permissions, nickname rules with real-time control, effect on public addresses and what changes when you open it from the Publish step of an event.
- Invite collaborators and assign roles From the organization's Members page, press Invite users, enter one or more addresses and choose the role. Accepted formats, suggestions from existing users, what the invitation email contains, Invitee and Member statuses and all outcome messages.

- Change roles, remove a member, or cancel an invitation From the Organization Members table, you update a collaborator's role from the drop-down menu, remove it from the Actions menu or cancel an invitation that has not yet been accepted. Search, confirmation requests, outcome messages and the restriction of the last administrator.
- Accept an invitation to an organization Open the link received via email, log in with the same address and press Accept: you will immediately be taken to the organization's console. In the Nightify Business app, invitations are in Pending Invitations with Accept and Decline. What to do if you are connected to another account or do not have an account.
- The organization console The home of each organization, section by section in the actual order of the page: greeting, initial checklist, profile reminder, upcoming events, Get started now, Your personal link, How can we help you? and statistics Your numbers with date range. - Organizational messages and notifications Authorized members reply to fan messages from the Messages page and follow alerts in Notifications, on the site and in the Nightify Business app. Permissions, actual page filters, response procedure with attachment, what the fan receives and what notifications reach the organization.
- Create a new event With Create event a draft is created and the Create or edit event guided path opens: Event page, Add tickets, Edit seat map and Publish. Permissions, autosave, controls that block publishing, what happens after sending for review and how to resume a draft.
- Fill in the event page: title, description, dates, location and FAQ The Event Page step collects images, overview in multiple languages, date and time zone, location with details, Featured Features and FAQs. - Upload images of the event Main image, square image and gallery are managed in the Add event image section of the Event page step. - Edit an already published event Changes to an approved event live in a draft (snapshot) separate from the online version until they pass a new review. - Duplicate an event With Duplicate in the Options menu you create a new draft with page, images, tickets, seat map, SIAE configuration and settings of the original event. What gets copied, what doesn't, what version is used, and what to update before publishing.
- Pause or reactivate publishing With Suspend publication, an approved event disappears from the site and is no longer reachable, without losing the approval; Enable publishing puts it back online immediately, without verification. - Delete a draft Never published drafts are deleted from the dashboard status card with Delete draft; for an event already online Clear Draft Snapshot removes only unsubmitted changes. Conditions, confirmations, what cannot be deleted and messages you may encounter.
- Exclusive editing: only one editor at a time Whoever opens a step in the editor obtains control of the event, renewed every 20 seconds and valid for 75 seconds without renewal; a second user sees the Event already being edited and can take control. - Cancel or postpone an event You handle the postponement yourself: you change the date and time in the Event page step and the change goes through verification. The definitive cancellation is carried out by Nightify at your request, together with the possible cancellation of the reservations, the email to the holders and the refunds. - Translate the event page Title, summary and frequently asked questions can have a version in Italian, English, Spanish, French and German: in the Event page step every block has the Change language selector. - Set up ticketing: SIAE, access titles, capacity and seat map The Add tickets step gathers in five sections the SIAE configuration, the Free and Paid cards used to create the titles, the Tickets added to the event table, the capacity and the seat map. - Create an access title The Create access type page, section by section and field by field: status, basic information (name, price, fees, quantity, sales period, map element), advanced settings, visibility, availability and notices, purchase form. - Schedule sales: dates and dependencies between titles A title can open at a precise date or when the preceding title closes or sells out. - Limited visibility: access codes, sales channels and quotas With Limited visibility a title is seen only with an access code or by arriving from an enabled channel (direct sales, members of the organization, tracking channels), with sales quotas per channel. - Low-stock ticket warning The ONLY 1 LEFT / ONLY N LEFT badge appears in the booking screen when the available tickets of a title drop to the threshold. It is on by default with a threshold of 10: how to change it or turn it off in the Availability and notices section, how it is calculated and when it does not appear.
- Purchase form: named or transferable titles and attendee details For every title you decide whether each attendee has to enter their own details (Named) or whether one single holder is enough (Transferable), and which information to ask for as Inactive, Optional or Required. Default value, forcing above 5,000 seats, what the fan sees in the Who’s attending? screen and the error messages.
- Advanced settings: quantity per reservation, waiting list and pre-sale rights The Advanced settings section limits the tickets per order, turns on the waiting list for the sold out, adds the pre-sale right and the description of the title. What every field does, how the waiting list really works (the fan signs up, everyone on the list is alerted, table in the Reservations report) and the messages the fan sees.
- Status of an access title: Active, Sales ended, Sold out, Hidden The selector in the header of the title controls the sale independently of the dates. - Edit, hide and reorder access titles From the Tickets added to the event table you open a title with View, take it off sale with the Hidden, Sales ended or Sold out statuses (there is no deactivation function) and drag the rows for the display order. - Common validation errors for access titles At publication Nightify checks quantity, capacity, map, sales dates, dependencies, visibility and SIAE rules of every title. - Assign, create or remove an event’s seat map In the Add tickets step the Seat map section lets you create the map of the event, reopen it with Edit map or detach it with Remove assignment. Every map belongs to its own event: there is no catalogue of reusable maps. What the map card shows, how capacity changes and all the messages, including the block when reservations exist.
- Use the seat map editor: stage, sectors, tables and areas The Edit seating map editor lets you draw the stage, the numbered sectors, the reserved tables and the general admission areas. - Assign access titles to the map elements Every sector, table or area has to be linked to one or more access titles: from the card of the element in the sidebar of the editor (Assign rate select, chips in Assigned rates) or from the access title with the Map element field. - Seat order codes and capacity calculated from the map Every sector, table or area has a Seat order chosen from a select of 16 SIAE typologies (Platea PT, Galleria H, Tribuna T, Posto unico UN and the others): the 2-character code is composed automatically from the prefix of the typology plus a variant and has to be unique within the map. With a structured map the capacity of the event comes from the seats you draw and locks the SIAE capacity too.
- Complete the Publish step: category, organizer, visibility, tags, lineup and pixel The last step of the creation path recaps the type and category of the event, the organizer, visibility, tags, artist lineup and tracking pixels, saves itself while you type and holds the Publish event, Publish changes and Publish images only buttons. - Public, private or password-protected event Visibility decides whether the event appears on Nightify and in search engines, whether it is reachable only from the link or whether it requires a password. - Add tags and the artist lineup Tags and the lineup are managed in the Publish step: you search among the existing ones or create them on the fly by typing in the field, you remove them with the x and you order the artists by dragging them. - Submit the event for review With Publish event or Publish changes the event moves to Under review: Nightify checks it within about 12 hours and lets you know by e-mail. - Fix the issues reported before publication Every problem found on submission appears as a There are issues with your event card with a button that takes you to the field to fix. - Publish images only Publish images only sends the main image, square image and gallery of the draft for review without the other changes and without the full validation: ideal to update the photos of a live event or one that has already taken place. - Cancel the review and return to draft If you submitted the event by mistake or you have to fix it while it is under review, take it back to draft with Cancel verification and return to draft from the status card of the dashboard or from the Event under review window. - Rejected event: read the reason and resubmit A rejected event or change shows the Rejected or Rejected changes badge; the reason written by the administrator arrives with the Event rejected e-mail and, for changes to a live event, also appears in the status card as Reason for rejection. - View all the organization’s reservations The Reservation management page lists the orders of every event in the organization with filters by number, customer, event, date and total, the summary columns, the status badges and CSV or PDF export. - The reservations report of an event From the event dashboard the Reservations report tab lists the orders with filters by number, total, channel, ticket type, status and payment, the columns with marketing consent, channel and entries, the Waiting list table and the four exports (full or Privacy). - Open a reservation’s detail page The Reservation detail shows, in the real order of the page, identifiers, payment summary with the service fee receipt and technical details, user data, history, access titles, scan log, generated tickets and archived tickets, with all the actions available for each section.
- Cancel a reservation Cancel reservation moves the order to the Cancelled status, cancels every access title and disables the QR codes; the holder receives the Cambio stato prenotazione e-mail. When to use it, what it does not do (no refund, no automatic notice to the waiting list), confirmations, blocks and the exact messages.
- Edit the holder of a reservation With Edit reservation holder you update the first name, last name and, if the customer gave marketing consent, the phone and e-mail of the order. - Add or cancel an access title in a reservation From the detail you can add to a Confirmed order one more access title of a type already present, always at €0.00 (complimentary), or cancel a single access title leaving the others valid, except the last one left. - Deactivate, reactivate or regenerate tickets (QR) In the Generated Tickets section you can block a single lost or disputed QR code, reactivate it or regenerate the tickets of the whole order after a correction. - Download a reservation’s tickets and service fee receipt From the reservation detail you download the ticket PDF, view a single QR code on screen and get the receipt for the service fees of the order. - Create a manual reservation With Add reservation you record an order on behalf of a customer or a guest: choose the access titles on the Add reservation for event page, press Create reservation and complete the event checkout. - Prepare scanning in the Nightify Business app From the Check-in tab (iPhone) or QR Scan (Android) you choose the organization, the event and the access titles allowed at your door, then you grant the camera permission. - Scan tickets at the entrance Frame the QR in the box: the camera closes by itself and the app shows Success with the details of the ticket or Error with the exact reason returned by the server. - Door staff: the Entries only role Invite the people working at the door with the Entries only role: they scan with the app, read the Reservations report and the Participants list of the event, but do not open Reservation management or the detail of the orders and see the metrics masked. - The event dashboard in the Business app From the Events tab open an event to see registrations, check-ins, issued access titles, interactions, views, the three conversion rates and the sales summary. - Search for an attendee in the Business app In the event dashboard of the app the Participants section finds a reservation by first name, last name or e-mail and shows check-ins, access titles, amount, order, payment, status and registration date. - Event statistics: audience, channels, trends and searches The Statistics tab shows the pixel diagnostics, the Search block with impressions, clicks, CTR and average position, the interest signals, the Age groups, Gender, Entries - total, Sales channels and Types of access charts, the three trend charts with forecast and granularity, and the tables of queries and search channels. - Conversion report The Conversion report lists every purchase journey that was started, with status Converted, In progress, Abandoned or Closed, date and time, channel, the user e-mail or Guest, platform, tracking and cart total. - View report: who viewed the event page The View report lists the views of the event page with the Referrals and Device charts, the filters by date, guest or registered, referral and device, and the columns Date/Time, Referrer, User, IP and Device. - SIAE report: download the daily and monthly C1 documents For events with SIAE ticketing, the SIAE report tab lists the daily and monthly C1 documents with the number of access titles and the Download PDF button. - Event change history The Change history tab records, most recent first, who carried out each operation on the event: suspension and re-enabling of publication, submission and cancellation of the review, draft saves, snapshot deletion, seat map, duplication and Nightify staff operations. - Share a read-only report with partners and collaborators With Share report you create view-only links to the dashboard of the event: whoever receives them does not need an account and sees the metric cards, the summary by access title, the sales status, the availability and the channels, without contacts, without trends and without other reports. Creation, copy, rename, revocation, limits (20 active links, name up to 80 characters) and messages.
- The Live events and Past Events lists The event lists of the organization show registrations, the name with date and location, who created it, status, visibility and views, with filters by name, location, city, date and status, sorting by views or registrations and the row menu with View, Copy link, Edit, Suspend or Enable publication and Duplicate. - Promote an event: Base, Standard and Premium packages and other options Promote event puts a public event in the spotlight with three daily packages and five extra options (results boost, Featured badge, similar events, push notifications). - Choose the period and audience of the promotion The period runs from today until the event date or is customized with a start date and a number of days in the Customize period window, even per single service; the push options are bought in blocks of 100 users in the Choose how many users to reach window. - Set up the Meta, TikTok and Google pixels on the event In the Tracking pixel code section of the Publish step you paste up to 2 official Meta Pixel, TikTok Pixel or Google tag/GTM snippets. - Create a tracking channel for promoters and campaigns With Add channel in the Sales channels section of the event dashboard you create a tracked link of type Instagram, TikTok, Newsletter, WhatsApp or Other: the reservations started from that link are attributed to the channel. - The promoter link and sales attribution Every member of the organization who has a username has a personal landing link and one link per event with the channel parameter: the reservations started from those links are attributed to their channel. - The organization’s customer list The Customers page gathers everyone who has booked at least once, with four statistics, the five most frequent customers, search, filters by period, marketing consent and frequency, sorting and a table of nine sortable columns, 50 customers per page. - A customer’s detail page Customer details shows four statistics, the Customer information box with contact details, consent, first and last reservation, and the Customer bookings table with every reservation made with your organization. - Unlock a masked contact Without marketing consent, e-mail addresses and phone numbers appear as Hidden throughout the console and in the complete exports. - Export an event’s reservations (CSV and PDF) From the Reservations report you download the reservations of the event in the complete version (Export CSV, Export PDF) or the Privacy version (without e-mail address, phone number, date of birth and platform), always with the active filters. - Export the organization’s reservations and customers Reservation management offers Export CSV and Export PDF (the reservations.csv and reservations.pdf files) and the Customers page only Export CSV (the customers-nickname.csv file), always with the filters of the page. - Fill in the organization’s tax details and IBAN In Organizer tax settings you declare the holder (Individual or Company), the address and the bank account used for payouts. - Fees absorbed or added to the ticket price For every access title you decide whether the service fee is paid by the fan on top of the price (the default) or absorbed by you out of the price. - The service fee receipt of a reservation For every Confirmed order with fees charged to the fan, Nightify issues a PDF receipt of the service fees including VAT, which the fan can download from their account and you from the Reservation detail with Download service fee receipt. - How I receive the sales revenue Online sales go through Nightify and the payouts to the organizer are handled by the Nightify team on the IBAN saved in Organizer tax settings: the console has no page for payments, dates or payout status.
