Sponsors, venues, artists and agencies often want to know how the event is going. Instead of adding them to the team, you can generate a read-only link that shows the dashboard of the event without personal data and without any possibility of editing.
At a glance
- Where: Event dashboard: Share report button in the header, or the same entry in the Options menu of the dashboard. The entry is not present in the row menus of Live events and Past Events.
- Permissions: it is not a permission but a role: you must be an Administrator of the organization (or Nightify staff). The other roles do not see the button.
- What you get: up to 20 active links per event, each with a name, which can be copied, renamed and revoked; no automatic expiry.
Step by step
- Open the window. On the dashboard press Share report. What you see: the Read-only event report window with the description Create view-only links to share with partners and collaborators. People with a link do not need an account and can only see this event’s statistics. They cannot edit the event, open other reports, or access customer contacts., the list of existing links (while it loads, Loading links…; if empty, You have not created any read-only links yet.), the Link name field and the Close and Create link buttons.
- Create the link. Type the name in Link name (placeholder E.g. Event partner, maximum 80 characters; use the name of the recipient so that you can revoke it individually) and press Create link. Confirmation: Link created. and the link appears in the list with its Read-only report URL.
- Copy it and send it. Press Copy next to the link. Confirmation: URL copied to clipboard!; if the browser does not allow the automatic copy, URL selected. Press ⌘C or Ctrl+C to copy it. appears. Send the address to the partner however you prefer.
- Rename it, if you need to. Press Rename, change the name and press Save (or Cancel). Confirmation: Link renamed.
- Revoke it when it is no longer needed. Press Revoke and confirm Revoke this link? It will no longer open. Confirmation: Link revoked.; the link disappears from the list and whoever opens it no longer sees anything.
What the person who receives the link sees
- The dashboard of the event in a reduced version with the Read only badge, the name of the event as the title (or Event report), the introduction This page only shows the event statistics that were shared with you. and the Link: line followed by the name you gave the link.
- The metric cards, the sales status strip, the Summary table by access title, the Availability and sales status section and the Sales channels table without the Add channel button.
- No trend chart, no customer name, e-mail or phone number, no other event or report, no editing action, no link carrying your channel.

What happens next
- The shared page is not indexed by search engines and is not cached by the browser.
- The links stay valid even after the event, which is useful for the final report to your partners; revoke them when they are no longer needed.

Special cases
- A partner also needs to see the trends or the searches: the shared report does not include them; consider inviting them to the team with a read-only role.
- You sent the link to the wrong person: revoke it straight away and create a new one for the right recipient.
- Event not approved yet: the shared report shows the sections of the dashboard, which only fill up with data after the first approval.
Rules and limits
- Maximum 20 active links per event; no limit on the number of times a link can be opened.
- No automatic expiry: revocation is manual.
- A revoked link cannot be re-enabled.
