Open a reservation’s detail page

The Reservation detail shows, in the real order of the page, identifiers, payment summary with the service fee receipt and technical details, user data, history, access titles, scan log, generated tickets and archived tickets, with all the actions available for each section.

The detail is the complete record of an order. From here you verify a payment, check the entries, correct the holder, add or cancel access titles, deactivate or regenerate the QR codes, download the ticket PDF and the service fee receipt, or cancel the whole reservation.

At a glance

  • Where: click the row of an order in Reservation management or in the Reservations report of an event. The browser tab title is Reservation detail, the page heading is Reservation #… with the order code.
  • Permissions: to consult it you need View organization reservation details (view organization reservation details; Administrator and Promoter); every action that changes the order requires Manage event reservations (manage event reservations; only Administrator among the predefined roles). Without the management permission the buttons do not appear.
  • What you get: the full view of the order and of its operations; the actions are grouped section by section.

The sections, in the order you find them

Generated TicketsAccess Type, QR Identifier, Service, Created date, Status (Active / Disabled) and the three-dot Actions menu with View QR Code, View Ticket PDF, Download service fee receipt, Regenerate ticket, Disable ticket or Enable ticket.Always; if there are no QR codes it shows There are no active or disabled tickets available. The three editing actions only appear with the management permission and a Confirmed order; the PDF only if there is at least one active QR code.
Archived ticket historyNote These tickets are retained as reservation history; their QR files are no longer available. and a table with Access Type, QR Identifier, Service, Last update, Status = Archived.Only if the order has replaced QR codes, for example after Regenerate ticket or a name change.

Step by step: the most frequent checks

  1. The customer says they paid. Look at Payment status and Payment method in the Payment summary and at the Payment completed entry in the Reservation history. What you see: with the status Processing the issuing is under way, wait a few minutes; with Payment not completed the time expired and the customer has to book again.
  2. The customer cannot get in. Check Generated Tickets (a Disabled QR code is refused) and Scan log (an ALREADY SCANNED status means the code has already been used: the Scanned By column tells you which operator did it).
  3. The name is wrong. Use Edit reservation holder in User data, then Regenerate ticket in the menu of a ticket to update the PDFs.
  4. You need a document. In the Actions menu of a ticket choose View Ticket PDF or Download service fee receipt.

Messages and errors

Special cases

  • Zero-total order: the Payment status shows Free and the method No payment required; no service fee receipt exists.
  • Refunded or Cancelled order: the heading does not show Cancel reservation, the actions on the access titles show a dash and titles cannot be added; the detail stays available for consultation.
  • Badges next to the status: Refunds (N), Listed (N), Sold (N), Name changes (N) and the like summarise the history; the detail of each entry is in the Reservation history.

Rules and limits

  • The detail does not allow refunds: the Nightify staff performs them on the organizer’s instruction.
  • The Scanned By column identifies the operator with the e-mail of their Nightify Business account.
  • The Reservation secret number is an internal identifier: give the customer only the Reservation number.
