You can involve promoters, door staff, collaborators and other administrators in the team. Each invitation assigns a role, which determines what the person can see and do in the console and the Nightify Business app. The invitation arrives via email and remains valid until accepted or cancelled.
At a glance
- Where: organization console → Organization Members (nightify.me/business/organizations/nickname/permissions) → Invite Users button → Invite Users page.
- Permissions: Manage members (included in the Administrator role). Without this permission, the members page is visible but the Invite users button does not appear and in the Role and Actions columns you only see a dash.
- What you get: a line with status Invited for each address and an email with the subject Invito a unirti a … (invitation to join …, followed by the name of the organization) to the recipient; when it accepts, the line becomes Member with the chosen role.
- Available roles: Administrator, Promoter, Entry only, Limited view; the preselected role is Administrator.
Before you start
- Decide the role based on the person's job: the invitation page describes each role, but for the permission-by-permission detail see Roles and permissions: what each member can do. You can also change roles later.
- Ask the collaborator which email address they use for their Nightify account: the invitation can only be accepted by logging in with that address. If you do not yet have an account, you will need to create one with the same address before opening the link.
Step by step on the website
- Open members. From the organization console, choose Organization Members. What you see: the table with the columns Name, Role, Status and Actions, the search box Enter the text to search for and, at the top, the Invite users button.
- Open the form. Press Invite users. What you see: the Invite users page with the text Send personalized invitations to new collaborators in your organization and immediately assign them the correct permissions., the Email or names field and the Select the role to assign section.
- Enter the recipients. In the Email or names field (placeholder e.g. [email protected] or Mario Rossi ) write an address and press Enter: it becomes a removable label with Remove recipient. You can paste multiple addresses separated by commas, semicolons or newlines, even in the form First Name Surname : the address is extracted. As you type, matching Nightify users appear below the field (Select an existing user from the list or type a new email address and press Enter.); if none matches read No users found. Press Enter to use the address entered.
- Choose the role. In Select the role to assign (Each role determines the permissions available for invited users. You can also change them later.) select one of the four tabs. Each tab contains the name of the role, its description and a list of what it allows; Administrator is already selected. The role applies to all addresses of the consignment.
- Submit. Press Invite users at the bottom of the form. Confirm: you return to Organization members with the message Invitation sent to ... (followed by the address) for a single recipient or ... invitations sent successfully. (preceded by the number) for multiple recipients. Each recipient appears in the table with the Invited status and the chosen role. With Return to members on the invitation page you can rejoin the list without sending.

- The invitation is registered before the email is sent and the recipient receives the message Invito a unirti a … with the acceptance link (nightify.me/business/organizations/nickname/invite with their address as parameter). The link does not contain temporary codes and does not expire: it remains valid until the invitation is accepted or cancelled.
- If the recipient already has a Nightify account with that address, the invitation also appears on their Organizations page with the Invitation to be confirmed badge and in the Nightify Business app under Pending Invitations.
- When he accepts, the line changes from Invited to Member with the role you chose and the operation is recorded as Invitation accepted in the member register.
- Until he accepts, you can cancel the invitation from the Actions menu of his row with Cancel invitation.
Messages and errors
| Message | Why it appears | What to do |
|---|---|---|
| No valid email address provided. | None of the entries contain a recognizable email address. | Check the syntax (name@domain) and separators, then resubmit. |
| Some invitations were not sent: … | At least one entry was unsuccessful. After the colon you will find the list: entries not recognized as emails, addresses to which the email was not delivered, … is already a member for those who are already part of the team, … has already been invited for those who already have a pending invitation. The other recipients of the same message still receive the invitation. | For incorrect addresses, correct and resend. For failed sends, the invitation is already registered as Invited: cancel it with Cancel invitation and send it again, or send the collaborator the link to the Organizations page where the invitation is already visible. |
| Unable to update member role. | The selected role is not among those that can be assigned (for example a form sent after a role change). | Reload the invitation page and choose the role again. |
| Your user does not have access to this resource. | You have opened the invitation page without Manage members permission. | Ask an Administrator to send the invitation. |
| The collaborator can't find the email | The message ended up in spam or the address was wrong. | Have them search for the subject Invito a unirti a …; if the address was wrong, cancel the invitation and resend it to the correct one. |
Special cases
- The collaborator uses another address for his account. By opening the link with a different account he will see To accept the invitation, log in with the email ... and he will not be able to accept: cancel the invitation and resend it to the address with which he is registered.
- You want to invite with different roles. The role is unique for each submission: make one submission for each role, or invite everyone with the same role and then change it line by line from the Role column.
- Reinvite a removed person. It is always possible: the control … is already a member only looks at current members.
Rules and limits
- For each organization an address can have only one pending invitation and only one membership.
- Invitations never expire; they remain in the table with the Invited status until they are accepted or cancelled.
- Acceptance requires access with the same address as the invitation and a complete profile.
- The roles are the four predefined ones: it is not possible to create custom roles or assign individual permissions.
