With an event and the access titles selected, the camera screen shows You are scanning the event with the name of the event, the list Only these access titles will be validated and the hint Align the QR code within the frame. Every reading is sent to the server, which decides whether the entry is valid and records it in the entries report.
At a glance
- Where: Nightify Business app, Check-in tab (iPhone) or QR Scan (Android), after pressing Scan QR.
- Permissions: Manage access and entries (Administrator, Entries only, Limited view, but not the Promoter).
- What you get: a Success or Error outcome for every QR, with a different sound and vibration, and a row in the Entries report for every scan that reached the server.
Step by step in the Nightify Business app
- Frame the QR. Ask the person to show the QR from the Nightify app (Accreditation details section), from the wallet pass or from the PDF. Follow the hint Align the QR code within the frame: the reading is automatic, you do not have to tap anything.
- Wait for the outcome. What you see: as soon as the outcome arrives, the camera screen closes by itself and a coloured panel appears in the scanner screen: green with the title Success or red with the title Error, followed by the message. The phone plays a different sound and vibration in the two cases.
- With Success read the details under the message Access confirmed.: on iPhone Access type, Quantity, Event, Location, Event date and time, Registration date and time, Reservation ID; on Android Access type, Quantity, Event, Location, Event date, Registration date, Reservation ID. For named access titles compare the name with an identity document, then let the person in.
- With Error read the reason (table further down) and do not let the person in until a supervisor has checked.
- Move on to the next person. Tap Scan QR again: the previous result is cleared and the camera opens again. There is no button to close the result.
The outcomes returned by the server
| Message | Why it appears | What to do |
|---|---|---|
| Access confirmed. | Valid QR, not used yet, of an allowed access title: the entry is recorded with the status Valid. | Let the person in. |
| Access denied: the QR code has already been scanned. | The code already has a valid entry; in the log the status is ALREADY SCANNED. | Do not let the person in. A supervisor can see the date and the operator of the first scan in the Scan log of the reservation detail: the QR may have been forwarded to somebody else. |
| Access denied: this ticket has been disabled. | The QR is Disabled from the console, or the reservation has been cancelled or refunded (cancelling disables the QR codes). Status in the log: TICKET DISABLED. | Do not let the person in; only a supervisor with access to the website can reactivate the ticket or clear up the situation. |
| QR code not found or invalid. | The code does not match any ticket (a QR of another service, a damaged image) or cannot be scanned. Status in the log: Invalid. | Ask for the right ticket or the PDF; if the QR is unreadable use the Participants search to check the reservation. |
| The provided QR code is invalid and does not match the current event. | The ticket belongs to an event other than the selected one. | Check the event selected in the scanner and the person's ticket. |
| Access denied: this QR code access type is not among the selected access titles. | The ticket is of an access title that is not selected for this door. Status in the log: ACCESS TYPE NOT ALLOWED. | Send the person to the door for their ticket type; the ticket stays valid. |
| Unable to confirm the entry scan on the SIAE system right now. Please try again. | Event with fiscal ticketing: the SIAE system did not confirm. Status in the log: EXTERNAL SYNC FAILED. | Repeat the scan after a moment; the entry is not recorded until the confirmation arrives. |
| Access denied: your account does not have permission to manage entries. | Your role does not have Manage access and entries. | Ask for a suitable role (for example Entries only). |
| The event does not belong to the selected organization. / Access denied: the user is not a member of the requested organization. | You are working for the wrong organization or you are no longer part of it. | Use Change organization in the Profile tab and select the event again. |
The checks the app makes before contacting the server
- No event selected for validation. (iPhone) or Invalid QR code. (Android): the scan started without an event.
- Select at least one access title before scanning.: no access title selected.
- The scanned access title is not selected.: the QR contains an access title other than the chosen ones. This check happens on the phone and is not recorded in the report; if the QR does not carry that information, the same check is made by the server, which in that case records the row ACCESS TYPE NOT ALLOWED.
Technical errors
| Message | Why it appears | What to do |
|---|---|---|
| Network error: followed by the code | The server answered with an error or cannot be reached (both platforms). | Move the phone where there is signal and repeat the scan: the ticket is not consumed until the server confirms. |
| Empty server response. (iPhone) / Error decoding the response. (iPhone and Android) | The response arrived incomplete or unreadable. | Repeat the scan; if it happens again, restart the app. |
| QR validation error. (Android) | The server rejected the scan without providing a message. | Repeat it; if it persists check the reservation from the website. |
Special cases
- Reservation with Payment at the entrance: there is no QR to scan. Take the money, then check the reservation with the Participants search of the app or with the Reservations report; the entry is not counted among the scans.
- Ticket on resale: while it is on sale its QR is rejected; the person has to cancel the resale from their own account.
- Dim screen or badly printed QR: ask the person to raise the brightness or to open the wallet pass; a printed PDF has to be sharp.
- Person without a QR (flat phone, lost e-mail): there is no manual entry of the code. Check the reservation with Participants in the app or from the website and ask the person to open the ticket again from their own account on another device.
Rules and limits
- The server does not check the payment status during the scan: a cancelled order is rejected because its QR codes are disabled, not because it turns out to be unpaid.
- Every scan that reached the server, whether accepted or rejected, is recorded with the date, the e-mail of the operator, the outcome and the IP address in the Entries report.
- No offline mode: plan for a backup hotspot.
