Besides the sales dates, every access title has a status you can change by hand at any moment. It is used to close or hide a ticket type without touching the dates, or to declare it sold out and trigger the waiting list and the later releases. There is no separate function to “deactivate” a title: the status is the only tool.
At a glance
- Where: Create access type or Edit access type page, selector in the header next to the title of the page (the Status label is not visible, you only see the select). Shortcut: in the Tickets added to the event table the row menu has the Hide item.
- Permissions: Manage ticketing.
- The four statuses: Active, Sales ended, Sold out, Hidden. The hint of the selector sums them up: Active: allows sales according to the configured dates and availability. Sales ended: stops sales without changing the dates. Sold out: displays the ticket as sold out. Hidden: removes the ticket from purchase channels. The status is applied when you save.
- When it takes effect: when the title is saved; for an event already online after Publish changes and the approval.
Step by step
- Open the title. In the Add tickets step, in the Tickets added to the event table, open the row menu (icon with the three dots) and choose View. What you see: the Edit access type page with the status selector at the top right, set on the current status.
- Choose the status. Select Active, Sales ended, Sold out or Hidden. Nothing changes until you save.
- Save. Press Edit access type at the bottom of the page. Result: you go back to the table and the Status column shows the new pill.
- Shortcut to hide. From the row menu choose Hide: the page of the title opens with the status already set to Hidden; you still have to press Edit access type to save. The item does not appear on titles that are already hidden.
- Publish. For an event already online press Publish changes: the new status is visible to fans after the approval.
Fields and options
| Status | What it means | Effects |
|---|---|---|
| Active | Normal selling according to dates and availability. | The only status in which the title can be bought and in which the low-stock badge appears. |
| Sales ended | Selling stopped without changing the dates. | The fan sees Sales ended; the quantity selector is disabled; the titles that depend on this one open immediately; waiting list not offered. |
| Sold out | The title is shown as sold out even if tickets are left. | The fan sees SOLD OUT and, if it is on, the Waiting list badge; the dependent titles open immediately. |
| Hidden | The title does not appear in the purchase channels. | It disappears from the event page and the booking screen; the waiting list is not offered; the dependencies stay valid. |
What happens next
- In the table of titles the Status column shows the pill with the current value, coloured differently for each status.
- A status other than Active disables the quantity selector in the cart and clears the low-stock badge.
- The “real” sold out can also come from an exhausted quantity or from an exhausted channel quota, without you setting anything: in those cases the fan sees SOLD OUT all the same.
- The status does not touch existing reservations: the tickets already sold stay valid and can be scanned.
Messages and errors
| Message | Why it appears | What to do |
|---|---|---|
| You can't make changes because the event is under review. It will be reviewed as soon as possible and you will receive an email. | The event is under review: no editing page opens. | Wait for the outcome or use Cancel verification and return to draft. |
| This event is already being edited by another user. | A colleague has control of the editor. | In the Event already being edited window choose Take control or Back to event dashboard. |
| Unable to save the access title. | Technical error while saving. | Reload and try again. |
Special cases
- You want to stop the sales right away but keep the title visible as closed: Sales ended.
- You want to start the next release and collect the waiting list: Sold out.
- You want to take a title out of sight (a table sold outside the platform, for example): Hidden. The fans signed up to the waiting list receive no alerts while the title stays hidden.
- You want to reopen the sales: go back to Active. If the sales end has already passed the fan keeps seeing Sales ended: move the date as well. If a later title depended on this one, it goes back to waiting until you close it or sell it out again.
- Title with Infinite quantity. It never runs out on its own: Sold out is the only way to declare it sold out.
Rules and limits
- The status is per title; there is no status that closes the whole ticketing in one go.
- The status does not cancel nor refund reservations: to cancel a reservation use the Reservations report; refunds are carried out by the Nightify staff.
- The strings the fan sees are the same on the website and in the app: Sales ended, SOLD OUT, Waiting list.
