The Entries report tab of the event dashboard shows the Entries — total, Entries by gender and Entries trend charts by hour, plus the log of every scan with date, reservation, holder, ticket type, operator e-mail, status and IP. Permissions, filters, columns and what really counts as an entry.

The Entries report gathers in real time all the scans made with the Nightify Business app, both the valid ones and the rejected ones. It is used to follow the flow of people during the event, to clear up a dispute at the door and to compare entries and issued tickets at the end of the night.

At a glance

  • Where: Event dashboardEntries report tab, or the Go to entries report link in the Entries conversion card. The page is titled Entries report Event #… (browser tab title: Event entries detail).
  • Permissions: View event reservations together with Manage access and entries (Administrator and Entries only), or the Promoter role, which only sees the scans of the reservations of its own channel. Limited view does not open the report.
  • What you get: three summary charts and the paginated log of the scans with filters by ticket type and status.

Step by step

  1. Open the report. From the dashboard of the event choose the Entries report tab. What you see: the charts at the top, below them the filter bar and the table of the scans.
  2. Read the charts. Entries — total compares two values with no time dimension: Entries (tickets scanned with a valid outcome) and Access passes not scanned (issued tickets minus entries). Entries by gender splits the people who came in according to the profile of the buyers. Entries trend is the third chart and groups the valid scans by hour, with labels such as 22:00, 23:00: if there are no scans yet it is hidden and the other two get wider.
  3. Filter the log. The main field of the bar is Filter by Access Type (a text search on the name of the access title). With More filters you open the Filter by Status menu, which lists only the outcomes already recorded for the event, with Valid first. Press Search; Back clears the filters.
  4. Read the rows. The columns are Scan Date, Reservation, Reservation holder, Access Type, Scanned By, Status and Scan IP. The status Valid is green, every other outcome is red.
  5. Browse the pages. The log shows 50 scans per page, starting from the most recent; the page controls are under the table and keep the filters.

Fields and options

What happens next

  • The report is read only: you cannot cancel scans and you cannot record entries by hand.
  • The same valid scans feed the Entries column of the Reservations report, the Entries column of the Summary of the dashboard and the Entries conversion card.

Messages and errors

Special cases

  • Dispute at the door: filter by ALREADY SCANNED or look the ticket type up, then check the Scan Date and Scanned By of the first valid reading of the same ticket in the Scan log of the reservation detail.
  • Checking the staff: the Scanned By column shows which accounts worked and how many readings they made.
  • Final balance: compare Entries — total with the Entries column of the Summary in the dashboard; the rows with a status other than Valid do not count as entries.
  • You are a Promoter: charts and log are filtered on the reservations of your channel.

Rules and limits

  • Orders with Payment at the entrance have no QR and therefore never appear in the report: record them with the Reservations report.
  • The checks made by the app before contacting the server (for example The scanned access title is not selected.) do not produce rows in the log.
  • 50 rows per page; the charts always cover the whole event, not the current page.
