Step-by-step guide Managing reservations

Deactivate, reactivate or regenerate tickets (QR)

In the Generated Tickets section you can block a single lost or disputed QR code, reactivate it or regenerate the tickets of the whole order after a correction. When to use each action, the exact messages, what the staff sees at the scan and what the customer sees.

Every access title of a confirmed order has a ticket with a QR code. From the reservation detail you can act on the QR codes without touching the order: block a single ticket, unblock it or generate all the tickets of the order from scratch. The three actions are in the three-dot menu of the Actions column of Generated Tickets.

At a glance

  • Where: Reservation detailGenerated Tickets section → Actions menu of the ticket row: Disable ticket, Enable ticket, Regenerate ticket.
  • Permissions: Manage event reservations; the three actions only appear if the order is Confirmed. The menu still keeps View QR Code and, when available, View Ticket PDF and Download service fee receipt.
  • What you get: a Disabled QR code is refused at the door; once reactivated it is valid again; regeneration replaces every QR code and PDF of the order.

When to use each action

ActionWhat it doesWhen to use it
Disable ticketMoves the single QR code to the Disabled status. The order stays Confirmed and the other tickets stay valid.A lost or shared QR code, a dispute under way, a customer asking to block a ticket while things are clarified.
Enable ticketBrings the QR code back to Active. When the problem is solved. It is the reverse of deactivation, without regenerating anything.
Regenerate ticketCreates new QR codes and new PDFs for the whole order, even if you start it from the menu of a single ticket; the previous QR codes move to Archived ticket history with the status Archived. After a change of holder, when a QR code is compromised or when the customer reports that the PDF will not open.

Before you start

  • Warn the customer before regenerating: the old PDFs, the wallet passes and the screenshots stop working.
  • To block an entire order definitively use Cancel reservation; deactivation is designed for the single ticket and is reversible.

Step by step

  1. Open the detail of the reservation and scroll to Generated Tickets. What you see: one row per ticket with Access Type, QR Identifier, Service, Created date, Status (Active in green or Disabled in red) and the three-dot Actions button.
  2. To block a ticket open Actions on the row and press Disable ticket. Confirmation: QR code disabled successfully. and the status of the row becomes Disabled.
  3. To unblock it open Actions and press Enable ticket. Confirmation: QR code enabled successfully. and the status goes back to Active.
  4. To regenerate open Actions of any ticket and press Regenerate ticket. Confirmation: Ticket regeneration completed successfully.; in Generated Tickets the new rows appear with new QR Identifier values and the old tickets end up in Archived ticket history.
  5. Check and communicate. Use View QR Code to see the single QR code and View Ticket PDF for the complete PDF; invite the customer to download PDFs and passes again from their own account.

What happens next

  • When a disabled QR code is scanned the Nightify Business app shows Error with the message Access denied: this ticket has been disabled.; in the Scan log and in the Entries report the row has the status TICKET DISABLED.
  • In the customer’s account, if every ticket is disabled, the Your tickets section disappears from the reservation detail; after a regeneration they find the new QR codes and have to download PDFs and passes again.
  • The archived tickets stay visible only as history: their QR file is no longer available.

Special cases

  • The customer has already used a QR code and asks to get back in. There is nothing to reactivate: a valid QR code that has already been scanned is refused with Access denied: the QR code has already been scanned. and a second entry is not provided for.
  • You want to disable every ticket. Disable them one by one, or cancel the reservation if the order must no longer be valid.
  • View Ticket PDF does not appear in the menu: at least one active QR code is needed; with every ticket disabled the PDF is not available.

Rules and limits

  • Regenerate ticket always acts on the whole order, not on the single QR code.
  • Deactivation and reactivation concern one ticket only and do not change the order status.
  • The three actions only exist for Confirmed orders.
